The challenge
A typical organization has a SharePoint environment accumulated over years: hundreds of sites, overlapping folders, outdated instructions still sitting next to the “current” ones. Copilot gives technically correct answers, but picks them from an old document as often as from a new one, because nothing tells it which one is in force.
How the solution is built
The solution does not start with an agent but with the structure of the information. First, what information the organization actually needs often, where it lives and who owns its upkeep is worked through. Outdated and duplicate content is archived or removed, not because it is worthless, but because its existence makes agents’ answers unreliable.
The remaining information is organized with metadata and clear ownership, so Copilot and the agents built later can trust that the latest version can be found without guessing. This is most of the work. Configuring the agent is, in the end, a small part of the whole.

The relevance of Copilot’s answers improves because the underlying data is in shape first. The organization also gets something few expect in advance: a clear ownership model for internal information, which makes every future agent built on the same data easier.
