The challenge

In a typical organization, Power Platform and Copilot have spread organically: teams build their own apps and automations as needs come up, without a shared model of who owns what and who is responsible for upkeep. IT does not know exactly how many solutions are actually in use in the organization, let alone which of them handle sensitive information.

How the solution is built

First the current state is mapped: what solutions exist, who uses them and what data they can reach. On that basis a lightweight governance model is built, one that does not smother the teams’ own development but makes it visible: clear roles for solution ownership, a lightweight review process for new solutions and rules for when a solution should move into IT’s upkeep.

The model is trained to both IT and the business’s independent makers, so both understand their role in it. The goal is not to slow development but to make sure fast development does not mean uncontrolled risk.

What the solution aims for

The organization gets a full picture of what Power Platform and Copilot solutions it has in use. Review of new solutions becomes part of the normal process instead of a separate, often forgotten step. The number of unreviewed solutions falls, as every new solution is born directly inside the model.
