A customer process agent for international use.

The same Copilot Studio agent handles customer requests in several countries and several languages, under a strict security requirement.

The challenge

In a typical international organization, a customer request passes through several people separately in each country: first intake, then verification, then a decision. Each country has built its own way of handling the same process, in a different language and with different tools. When leadership wants to unify the practice, the first question is not technology but whether the same solution can even work in several countries and languages without each country demanding its own version.

How the solution is built

Instead of six separate agents, one is built whose logic is shared but whose language and local rules are parameterised. The agent, built into the Agent 365 environment, handles the routine steps: verifying details, checking completeness and handing over to the next handler in their own language. Decisions that require judgement stay with people, but the agent makes sure they land on the right handler’s desk in the right country without delay.

The high security requirement means access rights and logging are built country-separated from the same governance model used for all production agents. No country sees another country’s customer data, even though the agent’s technical whole is shared.

What the solution aims for

One agent replaces many separate, inconsistent ways of handling the same process. Handlers in every country see their work queue in their own language in real time, and leadership gets a unified picture of how customer requests progress across the whole organization.

What everyday work looks like

agent replaces country-specific forks when the logic is shared and the language parameterised

countries the same solution model scales to without each country needing its own project

response time for a request requiring judgement is a realistic target when the agent routes requests straight to the right handler

The goal: the same process runs uniformly in every country without six separate projects, and leadership sees the whole picture for the first time.
