The challenge
In a typical organization, onboarding always rests on the same three people: HR, the team lead and that one colleague who “knows where things are”. A new employee asks the same questions week after week, and the answers live scattered across emails, Teams channels and inside individual people’s heads. No one is really responsible for keeping the information up to date.
How the solution is built
The solution does not start with building the agent but with the content: first, what questions new employees actually ask during the first months is mapped, along with where the answers are found when they are found. Only then is an onboarding agent built into the Agent 365 environment, one that pulls answers from the organization’s own documents and points to the right person when a question calls for judgement, not facts.
The agent is registered and its access rights defined as part of the same governance model used for all agents taken to production. Not as a separate exception, even if it is “only” onboarding.
What the solution aims for
Team leads’ weekly time on onboarding questions drops, as the agent answers the recurring ones. New employees get answers immediately, without waiting for a colleague to be around. Just as important: the agent sits inside the governance model from the start, not as a risk added after the fact.
